Human Resources Data Management Specialist

The Human Resources Data Management Specialist serves as the primary specialist of extremely confidential HR related records including personnel files, employment background checks, I-9 forms, and information contained within the HRIS system.
Responsibilities of the Position:
- Collects, prepares, organizes, and maintains a variety of highly confidential HR records, I-9 forms, files, reports, and certifications relative to Human Resources functions;
- Assures proper storage, organization and retrieval of information of HR records;
- Works with HR Analysts and hiring authorities to insure prompt and accurate flow of employee documentation;
- Conducts employee background checks; reviews results and refers cases to management as needed;
- Complies, distributes, collects and enters I-9 re-verification requests, employment contracts, missing documentation and other documents as assigned;
- Coordinates the request for queries from the HRIS system as directed;
- Responds to inquiries for verification of employment for employees including Employment Security Commission and Social Security Administration;
- Acts are resource person for staff and applicants on all issues associated with personnel files, HRIS records, and other confidential documents;
- Handles problems and inquiries that require some use of independent judgment to fit facts with established procedures;
- May perform similar duties in support of other departmental personnel on an as-needed basis.
Requirements
Minimum Qualifications:
Requires an Associate’s Degree (preferably in Human Resources or Business Administration) and minimum of 2 years of confidential record maintenance experience (preferably in Human Resources).
Desirable Qualifications:
• Previous work experience completing and maintaining employee I-9 forms (including recertifications) preferred.
• Previous work experience completing and maintaining employee personnel files preferred.
• Previous work experience entering employee data in to a Human Resources Database preferred.
• Associate’s Degree (or higher) in HR or a closely related field and/or other education in HR preferred.
• Excellent computer and data entry skills.
• Proficiency in Microsoft Office.
• Excellent communication skills as well as the ability to handle confidential information with absolute discretion.
• Knowledge of typical office procedures.
• Excellent communication/grammar skills (verbal and written).
• Pro-active customer service orientation.
• Ability to work both independently and as part of a team.
• Excellent organizational skills; ability to prioritize and handle multiple assignments in a fast-paced environment.
Conditions of Employment:
Salary placement will be on Range J ($35,148-$52,967) of the Non-Faculty Pay Grades. Initial placement for new employees is customarily at entry level through 25% percentile ($35,148- $39,602/annual). Work year is 12 calendar months. Position is Classified (non-exempt). Ability to work a flexible schedule, which may include off-shift hours, evening and weekend assignments may be required of any position.
